One of the advantages of the Magento 2 platform is its extensive reporting capabilities.

Magento 2 reports are detailed, versatile, and available for every aspect of your store. Magento allows you to export them as a CSV or Excel XML file for easy organizing, printing, and distribution (use the drop-down menu on the upper right portion of each report to export).

Magento Reports Menu Admin

Reporting sections available in the standard Magento Open Source (formerly Community Edition) include Sales, Marketing, Products, Customers, Reviews, and Statistics.

Because Magento 2’s reporting facilities are so comprehensive, I’ve broken them down one-by-one.

Sales Reports

This section allows you, as the Magento admin, to generate, view, and export reports based on the sales activity in your store. Reports are specific to designated scopes and periods of time. All Sales Reports display monetary amounts in the particular currency specified in your global configuration scope.

To view Sales Reports, navigate to Reports > Sales. The following options will appear on-page: Orders, Tax, Invoiced, Shipping, Refunds, Coupons, Paypal Settlement.

  • Orders: This section allows you to keep track of the orders created in your store. Navigate to: Reports > Sales > Orders. By applying the provided filters, you can tell Magento the exact information you would like included in your report.Magento Orders Report Admin
    • Store View: This drop-down menu at the top of the page allows you to select which of your stores you want to create the order report for. You can also choose to build a single report for all stores.
    • Filter: This section allows you to determine the filters you would like to place on the generated sales report.
      • Date Used:
        • Order Created: Choosing this option means that all orders submitted during your selected time period will be displayed.
        • Order Updated: If you select this option, then the only orders included in the report will be those that have been updated during the selected time periods. Updates can include orders that have been invoiced, captured and more.
      • Period: This is where you choose how you would like the report data organized. The option you select will be displayed as one row containing all information for that time period. Options are available for Day, Month and Year.
      • From: This is a required field. Click on the calendar image to select the beginning date for your report
      • To: This is a required field. Click on the calendar image to select the ending date for your report
      • Order Status:
        • Any: Shows results for all order statuses
        • Specified: Opens another field that allows you to specify the order statuses you wish to include in the report. You can select multiple statuses by holding down the control key as you click on options. Standard options include:
          • “Canceled”
          • “Closed”
          • “Complete”
          • “Suspected Fraud”
          • “On Hold”
          • “Payment Review”
          • “PayPal Canceled Reversal”
          • “PayPal Reversed”
          • “Processing”Magento Sales Report Order Status Drop-Down Options
        • Empty Rows: This option allows you to determine whether you would like empty rows displayed in your report. It contains a drop-down menu with options for “No” and “Yes”. If you select “Yes”, each period of the date range chosen will appear in the report, regardless of activity.
        • Show Actual Values: (drop-down menu with options for “No” and “Yes”) If you select “No”, then your sales report will display projected values instead of actual values.
      • If you just want to view the report, without exporting, click the Show Report button on the upper right part of the page. This will generate the report.
      • To Export, select the option you would like from the drop-down menu at the bottom right side of the page.
      • Sections for the finished report (based on filters) include:
        • “Interval”
        • “Orders”
        • “Sales Items”
        • “Items”
        • “Sales Total”
        • “Revenue”
        • “Profit”
        • “Invoiced”
        • “Paid”
        • “Refunded”
        • “Sales Tax”
        • “Tax”
        • “Sales Shipping”
        • “Shipping”
        • “Sales Discount”
        • “Discount”
        • “Canceled”
    • Tax: Reports on order taxes are grouped by tax rates and can be displayed for the time period you select. Navigate to: Reports > Sales > Tax. The process for generating this report is practically identical to that for creating the Orders report, except that you’ll notice there is no field for Show Actual Values.
      • Sections for the finished report include:
        • “Interval”
        • “Tax”
        • “Rate”
        • “Orders”
        • “Tax Amount”
    • Invoiced: Reports on the number of orders that have been created and invoiced versus those paid. Invoiced reports are available at Reports > Sales > Invoiced.
      • Sections for the finished report include:
        • “Interval”
        • “Orders”
        • “Invoiced Orders”
        • “Total Invoiced”
        • “Paid Invoices”
        • “Unpaid Invoices”
    • Shipping: Shipping reports display the information on amounts for each shipping method used in invoiced orders. You can access the shipping reports by going to Reports > Sales > Shipping.
      • Sections for the finished report include:
        • “Interval”
        • “Carrier/Method”
        • “Orders”
        • “Total Sales Shipping”
        • “Total Shipping”
      • Please note: The final report will include invoices with an amount of zero (paid for by a gift card) and with zero shipping (free shipping).
    • Refunds: This report includes information on refunded sales order, including ones that have been refunded online and those refunded offline. Go to Reports > Sales > Refunds.
      • Sections for the finished report include:
        • “Interval”
        • “Refunded Orders”
        • “Total Refunded”
        • “Online Refunds”
        • “Offline Refunds”
    • Coupons: This report shows all coupon orders, regardless of whether they were processed or canceled (custom use is added as soon as the order is placed). There is an extra field on Coupons called “Cart Price Rule”, with a drop-down consisting of “Any” and “Specified”. To view the coupons reports, navigate to Reports > Sales > Coupons.
      • Sections for the finished report include:
        • “Interval”
        • “Coupon Code”
        • “Price Rule”
        • “Uses”
        • “Sales Subtotal”
        • “Sales Discount”
        • “Sales Total”
        • “Subtotal “
        • “Discount”
        • “Total”
    • PayPal Settlement: If you’re utilizing PayPal on your site, you can also view reports for PayPal transactions that affect the settlement of funds. Also included is a summary of each currency held by the account, debits and credits and beginning and ending balances. To view PayPal Settlement Reports, visit Reports > Sales > PayPal Settlement.
      • Sections for the finished report display immediately as a list and include:
        • “Report Date”
        • “Merchant Account”
        • “Transaction ID”
        • “Invoice ID”
        • “PayPal Reference ID”
        • “Event”
        • “Start Date”
        • “Finish Date”
        • “Gross Amount”
        • “Fee Amount”
    • Braintree Settlement: If you’re utilizing Braintree on your site, you can also view reports for Braintree transactions that affect the settlement of funds. To view Braintree Settlement Reports, visit Reports > Sales > Braintree Settlement.
      • Sections for the finished report display immediately as a list and include:
        • “Transaction ID”
        • “Order ID”
        • “PayPal Payment ID”
        • Payment Type
        • “Type”
        • “Created At”
        • “Amount”
        • “Settlement Code”
        • “Status”
        • “Settlement Response Text”
        • “Refund Ids”
        • “Merchant Account ID”
        • “Settlement Batch ID”
        • “Currency”

Marketing Reports

Marketing Reports give you insight on how customers are using shopping carts in your store, which products are getting added and how many people are abandoning carts. They’re a great way to find out what customers were thinking about when they left your store.

  • To view the Marketing Reports, navigate to Reports > Marketing. You will be presented with four options: Products in Cart, Search Terms, Abandoned Carts, and Newsletter Problem Reports.
    • Products in Cart: This report includes information on all products in shopping carts. The products are displayed in list format and can be exported as a CSV or Excel XML file.Magento Products in Carts admin page

 

      • Sections for the report display immediately as a list and include:
        • “ID”: This is the record number of the product (SKU) so that you can use it for internal reference.
        • “Product”
        • “Price”
        • “Carts”: The number of carts for this item
        • “Orders”: How many of those items were converted into orders
    • Search Terms: This report will show you all search terms used by visitors on your site. This is a really great way to get insights on how people are interacting with your store. These can be exported to a CSV or Excel XML file for further analysis.
      • Sections for this report display immediately as a list and include:
        • “ID”
        • “Search Query”
        • “Store”
        • “Results”
        • “Hits”
    • Abandoned Carts: This report lists all of the registered customers who added products to their shopping cart, then left without placing an order.
      • Sections for the report display immediately as a list and include:
        • “Customer”
        • “Email”
        • “Products”
        • “Quantity”
        • “Subtotal”
        • “Applied Coupon”
        • “Created”
        • “Updated”
        • “IP Address”
    • Newsletter Problem Reports: As the name suggests, this is where you will find any problems that occurred with sending out newsletters. It also enables you to remove incorrect emails from the subscribers list.
      • Sections for the report display immediately as a list and include:
        • “ID”
        • “Subscriber”
        • “Queue Start Date”
        • “Queue Subject”
        • “Error Code”
        • “Error Text”

Products Reports

Product reports are helpful for analyzing sales and identifying emerging patterns in how your customers are shopping.

  • To view product reports, click on Reports > Products. You will be presented with five options: Views, Bestsellers, Low Stock, Ordered, and Downloads.
    • Views: This report shows the five most viewed products within each selected intervalMagento Product Views Report Admin
      • Store View: This drop-down menu at the top of the page allows you to select which of your stores you want to create the order report for. You can also choose to build a single report for all stores.
      • Filter: This section allows you to determine the filters you would like to place on the generated bestsellers report.
        • Period: This is where you can choose how you would like the report data organized. The option you select will be displayed as one row containing all information for that time period. Options available for “Day”, “Month” and “Year”.

        • Empty Rows: This option allows you to determine whether you would like empty rows displayed in your report. It contains a drop-down menu with options for “No” and “Yes”. If you select “Yes”, each period of the date range chosen will appear in the report.

    • Bestsellers: This report presents information on which products sell best. Results are based on the highest quantity across the specified time period. The filter options are identical to that of Product Views.

        • “Order Quantity”
    • Low Stock: If you’re using the inventory features available in Magento, the low stock report is a great tool for keeping track of low stock items. The report lists items that are out of stock, as well as those at a lower quantity than the required amount.
      • Sections for the report include:
        • “Product”
        • “SKU”
        • “Stock Quantity”
    • Ordered: This report displays information on which products have been ordered across the time period you specify.
      • Filters:
        • “From”
        • “To”
        • “Show By” (e.g. Day, Month, Year)
      • Sections for the finished report include:
        • “Interval”
        • “Product”
        • “SKU”
        • “Ordered Quantity”
    • Downloads: This report helps you keep track of downloaded products.
      • Report sections include:
        • “Product”
        • “Link”
        • “SKU”
        • “Purchases”
        • “Downloads”

Customers Reports

Detailed customer reports help you keep track of customer activity on your site.

      • You can find customer reports by navigating to Reports > Customers. You will be presented with three options: Order Total, Order Count, and New.
        • Order Total: Shows customer organized by their order totals.Magento Order Total Report Admin
          • Store View: This drop-down menu at the top of the page allows you to select which of your stores you want to create the order report for.
          • Filters:
            • “From”
            • “To”
            • “Show By”
          • Report sections include:
            • “Interval”
            • “Customer”
            • “Orders”
            • “Average”
            • “Total”
        • Order Count: Reports on customers based on the number of orders placed. Enables you to see how often your customers are ordering your products.
          • Report sections include:
            • “Interval”
            • “Customer”
            • “Orders”
            • “Average”
            • “Total”
        • New: This report shows stats on the quantity of new user accounts that have been created during the period you specify.
          • Report sections include:
            • “Interval”
            • “New Accounts”

Reviews Reports

This section helps you keep track of your product reviews. It’s divided into two parts: reports organized by customers and reports organized by products.

  • You can view the reviews reports by going to Reports > Reviews. You will then choose to see reports in one of two ways: By Customers or By Products.
    • By Customers: This section lists all of the customers who have submitted reviews on products within your store.
      • Report sections include:
        • “Customer”
        • “Reviews”
        • “Action”: This section allows you to further examine the reviews attached to a customer. Clicking on Show Reviews will bring you to another reporting section where you can see all the reviews submitted by a specific customer. This second report can also be exported as a CSV or Excel XML file.
          • Reviews: Actually brings you to another part of the Admin Panel (Marketing > User Content > Reviews)
            • Report sections include:
              • “ID”
              • “Created”
              • “Status”
              • “Title”
              • “Nickname”
              • “Review”
              • “Visibility”
              • “Type”
              • “Product”
              • “SKU”
              • “Action”
    • By Products: This report organizes reviews by product so you can see detailed information on the reviews attached to each product.
      • Report sections include:
        • “ID”
        • “Product”
        • “Reviews”
        • “Average”
        • “Average (Approved)”
        • “Last Review”: The date of the most recent review submitted for the product
        • “Action”: This section allows you to view the reviews associated with a product. Click Show Reviews and you will be taken to another reporting section that lists reviews for a specific product.
          • Reviews (same place as above)
            • Report Sections include:
              • “ID”
              • “Created”
              • “Status”
              • “Title”
              • “Nickname”
              • “Review”
              • “Visibility”
              • “Type”
              • “Product”
              • “SKU”
              • “Action”

Statistics

The Refresh Statistics option can be a great resource if your reports are showing up blank. Refreshing statistics help generate the information you need for reporting.

  • Go to: Reports > Statistics > Refresh Statistics to view a row of checkboxes showing the reports available for refreshing.Magento Refresh Statistics Admin

 

    • Refresh Statistics check boxes include:
      • Orders: Total Ordered Report
      • Tax: Order Taxes Report Grouped by Tax Rates
      • Shipping: Total Shipped Report
      • Total Invoiced: Total invoiced VS Paid Report
      • Total Refunded: Total Refunded Report
      • Coupons: Promotion Coupons Usage Report
      • Bestsellers: Products Bestsellers Report
      • Most Viewed: Most Viewed Products Report

Check the box of the statistic you need to process, go to the Actions drop-down, and select whether you would like to “Refresh Statistics for the Last Day” or “Refresh Lifetime Statistics”. If you’ve never updated your statistics before, then you’re going to want to select lifetime. Click Submit.

If you select lifetime, the following message will pop up: “Are you sure you want to refresh lifetime statistics right now? This operation may slow down your customers’ shopping experience.” Generating lifetime statistics is an operation that takes a lot of resources and it can impact your site. Normally this only takes a few minutes, but you’re far safer refreshing only one report at a time.

After refreshing your selected report, go back to that section and run the report again. This time you should see that the stats are reporting correctly. SUCCESS!
